Truckload tender rejections climbed back above roughly 14% in mid-October, according to FreightWaves' SONAR data (FreightWaves, October 2026). When rejections rise, more loads get reassigned, more pickups slip and more customers email to ask the same question: "Where's my truck?" Each of those emails costs a rep several minutes to answer, and the volume grows exactly when reps are busiest covering freight. The fix is not faster typing. It is answering status questions with load-specific facts automatically, and notifying customers before they have to ask.
Rejection rates move week to week, and the exact figure will shift. The pattern does not: a tighter market means more exceptions, and more exceptions mean more status questions.
A rejected tender is a load that has to be re-covered. That usually means a new carrier, a later pickup or a different driver than the shipper was told. Each change creates uncertainty on the customer's side:
Most of those questions have simple answers. The load is picked up, the truck is a few hours out, the delivery appointment is confirmed. The cost is in finding the answer and writing it, over and over.
Here is an illustrative calculation. Your numbers will differ, so plug in your own.
In a market with more rejections and more reassigned loads, the number of status emails per load tends to go up. In this illustration, going from two to three emails per load adds another 100 rep-hours a week. Those hours come out of the time reps would otherwise spend covering freight.
Because the answer is spread across several systems, and the rep has to stitch it together:
If any step is skipped, the customer gets a vague reply ("the truck is on its way") and emails again an hour later. Our post on how real-time shipment tracking makes "where's my package" obsolete covers why specific, timestamped answers reduce follow-ups.
An AI agent handles the full loop for each inbound status request:
The agent also keeps the record straight. Status pulled from tracking is written back to the TMS and CRM, so the next person who looks sees the same answer. We covered how to keep that data in sync in our guide to live shipment status sync across your CRM and TMS.
The best "where's my truck" email is the one the customer never has to send. Agents can notify shippers and receivers automatically when:
Proactive updates matter more during the holiday season, when shippers have tight retail windows. We discussed that in our post on the $1 trillion holiday forecast, a tight truck market and shipper updates.
Visibility also has a commercial side. Customers who repeatedly have to chase status start looking at other providers. Our framework for stopping 3PL customer churn through visibility explains why communication quality is often what customers remember about a provider.
FreightWaves' SONAR data showed tender rejections climbing back above roughly 14% in mid-October 2026, a sign that carriers are turning down more contracted freight and more loads are being re-covered.
Each rejected load is reassigned, often with a new carrier, pickup time or ETA. That change creates uncertainty, and shippers email to find out where their freight is.
It depends on volume and labor cost. In an illustrative example of two emails per load, six minutes each and $40 an hour, status answers cost about $8 per load.
Yes. An agent can identify the load, pull tracking and TMS data, reply with location, ETA and appointment status, and escalate loads that are at risk.
Rising rejections mean more reassigned loads and more status questions, at the moment reps are busiest. Answer every status email with load-specific facts automatically, notify customers before they ask and send only the at-risk loads to reps, so the tighter market costs you fewer hours and fewer customers.
